Here is a brief checklist to help you improve your ROO (Return On Objective) and ROI (Return On Investment) for your team building event.
Objective
First, what is your primary objective for having a team building event? The three common objectives are:
Building Relationships & Social Networking
- Interactive
- Participatory
- Engaging
Improving a Business Issue
- Communication
- Process
- Strategic Planning
Creating an Effective Team
- Goal Setting
- Behavior Assessments
- Roles and Responsibilities
Purpose
Sometimes there are overlapping objectives, in which case the next step of defining "the purpose" will help to clarify the objectives.
The Purpose is defined as follows:
"After this session, we want attendees to..." (fill in your purpose)
The next question is: Can this objective be achieved in this one session? How can we have a follow-up procedure in place to improve sustainability of our objectives?
Participants
Now that the objective and purpose are established, decide who needs to participate? This will vary from the whole organization, or the marketing department, to the board of directors. Remember, having just one key person missing can sabotage the intended results. In addition, don't forget the people that need to support these objectives. They should be considered as well to avoid any fatal weakness in the execution of the objective.
Budget
That brings us to budget. Team building sessions are designed to improve or change a situation. Every change will affect the organization.
What are the cost benefits to improving an issue? What is the return on objective? When objectives are clear, measuring those objectives becomes easier. Don't short change the long term results sustainable team building can have when deciding on a budget.
Logistics
Now that you have objective, purpose, time allotment, attendee list, and return on objective, logistics is next. Thoughts to consider:
- Location - It is always better to have this off-premise. This is not a meeting, it is an event. Work interruptions will have negative effect on this event. Remember the travel of attendees, don't make it a hardship trying to attend. Consider bussing or carpooling if need be. What audio/visual needs will be needed?
- Meeting Rooms - What size rooms will be needed for the activities? Will there be other events in adjacent rooms that can be a concern such as a rally or entertainment?
- Set Up - Will tables be needed, (rounds, boardroom, "U" shaped), or chairs (folding, executive, banquet/stacking), paper pads, pens, markers, sticky notes, flip charts or name tags?
- Timing - What is scheduled to happen at the same time? Are there festivals, concerts, sporting events or religious holidays that need to be considered.
Conclusion
Focus is crucial to the execution of a mission. All the areas discussed can be critical to a successful team building event. Creating an environment that is conducive to team building will greatly enhance its potential for long lasting success.
